1. Who we are
HireFix AI is a free tool that helps job seekers compare their resume against job descriptions, identify gaps, and generate tailored versions. This privacy policy explains what data we collect, how we use it, and what choices you have.

2. What we collect
Information you provide
- Resume content. When you upload a resume, we extract text from it and send the text to Azure OpenAI (Microsoft) for analysis. The file itself is kept in memory during processing and discarded after the request completes, unless you explicitly click Save.
- Job descriptions. The JD text you paste is sent to Azure OpenAI for comparison. It is not stored unless you save or share the result.
- Account information. If you sign in with Google, Microsoft, or GitHub, we receive your name, email, and a unique ID from that provider. We do not receive your password.
- Email address. If you use the "Email me my results" feature, we store your email address to send you the requested results.
Information collected automatically
- Usage analytics. Page views, button clicks, and feature usage via Google Analytics (GA4) and Azure Application Insights. These help us understand which features work and what to improve.
- Technical data. IP address (used for rough geographic location), browser type, operating system, and pages visited. IP addresses are used for security and rate limiting, not stored long-term with your account.
- Cookies. We use essential cookies for authentication (when signed in) and analytics cookies to measure usage. You can disable analytics cookies in your browser settings.
3. How we use your data
- To run the core analysis, insights, and tailoring features you request
- To save your results to your account if you sign in and click Save
- To send you your results via email if you request it
- To improve the product based on aggregated usage patterns
- To prevent abuse, spam, and fraud
- To communicate with you about the service (support requests you initiate)
We do not use your resume or job description content to train AI models. Azure OpenAI's data processing follows Microsoft's commitments: your data is not used to train OpenAI models and is not shared with other customers.
4. Where your data is processed
- Azure OpenAI (Microsoft): Resume and job description text is sent to Azure OpenAI for processing. Data stays within Microsoft Azure infrastructure.
- Azure Cosmos DB: If you save results, they are stored in Azure Cosmos DB with automatic deletion after 30 days.
- Azure Blob Storage: Saved resume files are stored in Azure Blob Storage under your user ID.
- Azure Communication Services: If you use the email feature, emails are sent through Azure Communication Services.
- Google Analytics: Anonymous usage analytics.
All infrastructure is hosted in the United States. If you are in the EU, UK, or other regions with data protection laws, your data may be transferred to the US for processing.
5. Data retention
- Anonymous usage: Resume and JD text are sent to Azure OpenAI, processed, and discarded. Nothing is stored on our side.
- Saved resumes (signed-in users): Automatically deleted after 30 days via Cosmos DB's built-in TTL. You can manually delete anytime from the Saved tab.
- Account data: Kept as long as your account is active. Contact us to delete.
- Shared results: Kept indefinitely to serve the share link, but contain only the content you explicitly chose to share (optionally redacted).
- Analytics data: Retained according to Google Analytics and Azure Application Insights default policies (typically 2-14 months).
6. Sharing your data
We do not sell your data.
We share data only with the service providers we use to operate HireFix AI:
- Microsoft Azure (hosting, OpenAI, database, storage, email delivery)
- Google (authentication via OAuth, analytics)
- GitHub and Microsoft identity (authentication, if you use those sign-in methods)
We may disclose data if required by law, court order, or to protect our rights. We will notify you of any such request unless legally prohibited.
7. Your choices and rights
- Access your data. Sign in and view your saved resumes. Contact us for a full data export.
- Delete your data. Delete saved resumes from the Saved tab. To delete your full account, email support@hirefixai.com.
- Opt out of analytics. Use a browser ad blocker or Google's opt-out tools.
- Update your data. Re-sign in to refresh your profile from the identity provider.
If you are in the EU, UK, or California, you have additional rights under GDPR and CCPA including the right to access, correct, delete, and port your data. Email us to exercise these rights.
8. Chrome extension specifics
If you use the HireFix AI Chrome extension:
- Your resume is stored in Chrome's local storage on your device, not on our servers
- The extension only sends your resume to our servers when you click "Analyze Match"
- The extension reads the content of job pages only when you click "Auto-detect from this page" — it does not track your browsing
- Uninstalling the extension clears all locally stored data
9. Security
We use industry-standard security measures: HTTPS for all traffic, Azure security controls, access logging, and input sanitization to prevent injection attacks. However, no system is 100% secure. Avoid uploading resumes containing extremely sensitive personal information (government IDs, social security numbers, etc.). Our redaction feature helps strip personal contact information from shared links.
10. Children's privacy
HireFix AI is not intended for children under 16. We do not knowingly collect data from minors. If you believe a child has used the service, contact us to delete the data.
11. Changes to this policy
We may update this policy. Material changes will be announced on our site or via email (if you have an account). The "Last updated" date at the top shows the most recent revision.
